In STR operations, a delayed reply to a guest asking about check-in can cost a booking, trigger a platform penalty, or produce a bad review inside a narrow response window. Asking “are you a hard worker” or “how’s your English” tells you nothing about how a candidate performs under that kind of pressure. These eight questions do.
1. What Hours Does Coverage Actually Span?
A VA working your local daytime hours is fine only if guests never have questions outside those hours. Most do. 4. Have They Actually Handled a Damage Claim or Guest Dispute Before?
This is one of the highest-stakes tasks in STR operations, and one most evaluations skip entirely. A trained assistant follows a specific process: documentation before response, a neutral first message, and clear escalation triggers for anything beyond their authority.

5. What Security Protocols Govern Access to My Accounts and Smart Locks?
Handing system access to a remote team member is a real risk if it’s managed carelessly over plain text. Credentials should be shared through a password manager, never a direct message, with role-scoped access rather than a shared master login.
Ask directly: How are credentials shared and stored? Is access scoped by role, or does everyone get the same level of entry? What happens to that access if the placement ends?
6. What Happens If a Cleaner No-Shows During a Same-Day Turnover?
A cleaner canceling two hours before a same-day turnover is one of the most common operational failures in STR, and it’s a genuinely different skill from guest messaging. Cleaning quality and reliability show up directly in guest reviews, which makes this question worth pushing on rather than assuming it’s covered. A strong answer includes checking a turnover tracking tool, reaching out to a backup cleaner on file, and proactively notifying an incoming guest of any delay rather than letting them find out at the door.

8. What's the Replacement and Continuity Plan If This Person Becomes Unavailable?
Ask directly: If this person is unavailable for a day, who covers my guests? If the placement doesn’t work out, what’s the actual replacement timeline?
Run a paid trial task. Have the candidate respond to a handful of realistic sample guest inquiries or draft a turnover checklist. Pay them for the time. This reveals actual skill in a way an interview alone doesn’t.
Check references specifically about STR work, not general satisfaction. Ask a past client directly whether the VA required significant training or was productive quickly, and whether they’d hire them again.
Request a specific example, not a general claim. “I’ve worked with STR hosts” tells you nothing. A specific story about a real dispute, a real emergency, or a real turnover failure tells you how they actually think under pressure.
